An exciting opportunity has arisen in the team for a dynamic and passionate Event Delivery Coordinator to join us as we continue our exciting growth into 2024. This role is initially on a 6-month fixed term contract, with the opportunity to become permanent after this initial period.
The role
As our Event Delivery Coordinator, you'll work closely with the Head of Event Delivery, supporting all aspects of our event planning and execution. From administrative tasks to client relations for both independent and Hire Space 360 client events. Your role is critical in ensuring the success of these events, which ultimately foster fantastic client relationships, and expand our business.

Your duties cover the full event lifecycle, from proposal development to pre-production, communication, financial management, and post-event wrap-up. Flexibility and efficiency are key, as you'll switch between guided and independent work.

You'll also help develop and refine standard operating procedures (SOPs) for client interactions and internal workflows, which is critical for Hire Space’s evolution and reputation in the events industry.

In a nutshell, we’re on the lookout for an individual with a keen eye for detail, who has a passion for organisation, whilst navigating a fast-paced events environment. Proficiency in handling numbers and experience with Excel/Google Suite is essential, along with your capability to contribute to the day to day financial aspects of event administration. Your willingness to think creatively and your openness to engage in ad-hoc initiatives will make you an invaluable asset to the Hire Space team.
Key Responsibilities
  • Generate client and supplier agreements using designed templates, following through to signature
  • Building and maintaining processes to effectively timescales for the key aspects of event delivery (finance, agreements etc)
  • Tracking and managing event finances, working closely with our finance team to ensure smooth budgeting, invoicing and supplier payments
  • Assisting with coordinating and executing effective event resource planning
  • Completing event-related research, and reporting on findings, bringing fresh ideas to the table
  • Communicating and coordinating with third party suppliers and partners
  • Being the first point of contact for existing and potential client queries
  • Building and documenting Event Delivery processes and procedures as they evolve
You should apply if you:
  • Have demonstrable events industry experience, with a passion for organisation and coordination
  • Solid experience of the financial operations/reporting elements of event delivery
  • Excellent problem solving and customer service skills
It would be a bonus if you:
  • Have experience in a role that gives you extensive knowledge of event production and delivery
  • Have previous experience in a similar, fast paced role

Logistics
This is a hybrid remote / in-person role. Our client base is predominantly in London and it is important that you are able to collaborate with your team, attend ad-hoc events and attend our away days in-person. You can usually expect to be in/around London on average 2-3 days per week, usually working from our central London office location.
